Acceptable Use Policy

This Acceptable Use Policy (“AUP”) sets out the rules governing access to and use of the Solution. It is binding the Client and applies to all Users. By accessing the Solution, Users agree to comply with this Policy.
Access
- Technical requirements:
- Access to the Solution is exclusively provided to Users via the Internet in a browser-based interface and a mobile application, enabling remote utilisation of the Solution.
- Access to the Solution requires a web browser and a high-speed internet connection. The Client and each User are solely responsible for ensuring a functional Internet connection and all related network infrastructure. These external access components are not part of the Services provided by Entropia.
- Entropia may block outdated browser versions that pose security or compatibility risks. Users are responsible for ensuring that the browser used to access the Solution is kept reasonably up to date and supported.
- The User is responsible for ensuring that all devices used to access the Solution are equipped with up-to-date antivirus software to prevent the introduction of malware or other security threats.
- User identification:
- Users are required to authenticate their identity each time they access the Solution, using the authentication methods provided by Entropia.
- Login credentials (including passwords) must be kept strictly confidential and must not be shared.
- Users must take reasonable steps to protect login credentials from being discovered, including changing passwords immediately upon suspicion of compromise and notifying Entropia without undue delay.
Use
- Lawful and intended use:
- Users must not misuse the Solution, ignore documentation, or act contrary to usage guidelines. The Client remains responsible for consequences of such misuse.
- Users represent and warrant that their use of the Solution will comply with applicable laws and regulations and will remain limited to the intended purpose of the Solution.
- Users acknowledge that their usage data (e.g., login times, IP address, activity logs) may be processed by Entropia for security, operational, and reporting purposes, as described in our Privacy Policy.
- User commitments : Users represent and warrant that:
- they have all necessary rights, licenses, and permissions to upload, store, and make accessible the content they upload to the Solution;
- Use of the Solution will not infringe third-party rights, breach confidentiality, or disclose trade secrets to unauthorised parties;
- Users shall not access or attempt to access any Content or Data Room for which they do not have explicit authorisation.
- Neither the Client nor its Users may use the Services if subject to sanctions or located in jurisdictions restricted by trade or export laws (including but not limited to Russia, Cuba, Iran, North Korea, Syria, or parts of Ukraine under temporary occupation).
- Prohibited content: Users may not upload, store, or distribute content that is:
- unlawful, infringing, threatening, defamatory, harassing, violent, obscene, hateful, racist, or extremist propaganda;
- violating privacy rights or data protection laws;
- connected with money laundering, terrorist financing, or child exploitation.
- Prohibited technical conduct: Users agree not to engage in any activity that may compromise the integrity, security, or availability of the Solution. In particular, Users must not:
- deploy or execute systems, scripts, or programs that interfere with or impair the Solution (e.g., denial-of-service attacks, unauthorised bots);
- upload or make available viruses, worms, Trojan horses, spyware, or other malicious code;
- attempt to access, copy, or use Entropia’s system software or infrastructure without proper authorisation;
- attempt to gain unauthorised access to Entropia’s systems, networks, or Data Rooms;
- monitor or intercept Solution traffic or User information without authorisation;
- circumvent or attempt to circumvent access controls, or grant access to unauthorised third parties.
- Intellectual property restrictions: Users may not copy, alter, reverse engineer, decompile, disassemble, attempt to access source code or underlying components, translate, or otherwise interfere with or modify the Solution or any portion thereof, unless expressly permitted by applicable law or with Entropia’s prior written consent.
Content
- Ownership respect: Users must respect the rights of Content owners. Users must not upload, store, or distribute Content that infringes copyrights, trade secrets, or other proprietary rights.
- Responsibility for Content: Users bear sole responsibility for the Content they make available on the Solution. Entropia does not verify Content for accuracy, completeness, or legality.
- Personal Data: Users must not upload or process Personal Data in violation of applicable data protection laws, including without a legal basis or required notices/consents.
- Data backup: Users must maintain their own machine-readable backups of Content and must not rely on the Solution as the sole repository of data.
- Export before closure: Users should ensure that important Content is exported before closure, as access is blocked immediately upon closure.
Cooperation
Users must promptly report any suspected defects or malfunctions via the in-Solution chat, contact form, or email at support@entropia.io. Reports must contain sufficient detail to enable diagnosis. Failure to provide adequate information may delay resolution but does not relieve Users of their obligation to cooperate in good faith.
Users are also welcome to submit ideas, feature requests, or feedback on how the Solution could be improved. By submitting such suggestions, Users acknowledge that Entropia may freely use, implement, or disregard them at its sole discretion, without obligation to compensate the User.
Any violation of this AUP may result in immediate suspension or termination of User access, at Entropia’s discretion, without prejudice to other contractual or legal remedies. Entropia reserves the right to seek damages or other remedies for harm caused by non-compliance with this AUP.
